Northstar Ops
From spreadsheet sprawl to one operating view
A custom operations platform that gave dispatchers and field teams one dependable place to plan, act, and report.
- Example outcome
- 42% less scheduling time
- Engagement
- 16 weeks
- Services
- Product discovery, UX design, Web application
The situation
Northstar's regional teams had outgrown the spreadsheets and messaging threads used to coordinate hundreds of weekly service visits. Schedules changed constantly, customer history lived in multiple systems, and leadership could not see capacity until the end of the week.
The company needed a shared operating system—but not a generic field-service suite that forced its specialized workflow into somebody else's model.
What Vyndel would build
We mapped the dispatcher's day, identified the decisions that created the most rework, and designed a planning surface around those moments. The resulting platform combines capacity planning, drag-and-drop scheduling, technician notes, and account history without turning every task into a form.
The technical approach used a typed API, role-based access, and an event log so operations leaders could trust both the current plan and the history behind it.
Delivery highlights
- Prototype tested with dispatchers before the first production sprint
- Incremental data migration from three regional spreadsheets
- Responsive field view designed for low-connectivity environments
- Operational dashboards based on actionable exceptions, not vanity metrics
Example outcome
In this illustrative engagement, scheduling time dropped by 42%, missed handoffs declined, and regional managers gained a live view of capacity. The client team received architecture notes, runbooks, and a recorded handoff so they could extend the platform independently.
